Monday 08.30-18.00 & Tuesday – Friday 08.45-18.00
Purpose of the position:
tlc Estate Agents, a leading estate agency based in the heart of Kensington, is seeking an enthusiastic and meticulous individual to join our dynamic sales team as a Compliance and Sales Coordinator. This pivotal role will be instrumental in ensuring the highest standards of compliance throughout the process of bringing a new property to market and putting properties under offer, as well as overseeing the sales conveyancing process together with supporting the team in all aspects of their day to day and help with the smooth running of the office. The Compliance and Sales Coordinator will report directly to our Sales Manager, Eloise.
Responsibilities:
- Compliance Oversight:
- Efficiently coordinate and manage all compliance-related activities involved in bringing a new property to market including completing land registry checks.
- Conduct thorough Anti-Money Laundering (AML) checks, demonstrating a meticulous approach to compliance.
- Obtain and verify signed terms and necessary documentation from clients, ensuring accuracy and completeness.
- Sales Conveyancing Process:
- Act as a crucial point of contact, liaising effectively between the sales team and solicitors to facilitate seamless communication and collaboration.
- Diligently prepare and distribute sales memos, ensuring all information is accurate and up-to-date.
- Perform comprehensive AML checks for prospective buyers, ensuring full compliance with all legal requirements.
- Take charge of coordinating and managing the process of obtaining and organising keys for property access prior to completion.
- Accurate generation of sales invoices
- Documentation and Record-Keeping:
- Maintain impeccably organised and up-to-date records of compliance-related documentation for all properties.
- Ensure meticulous completion, signing, and filing of all necessary legal documents and contracts.
- Demonstrate the utmost confidentiality and professionalism when handling sensitive information.
- Accurately upload properties to the online portals and tlc website and create brochures for new listings.
- Arrange and upload EPCs, photos and floorplans
- Update property listings
- Team Collaboration:
- Foster close collaboration with the sales team, working closely with our Sales Manager, Eloise, to ensure smooth transitions and a cohesive sales process.
- Provide invaluable support and guidance to colleagues regarding compliance requirements and procedures.
- Actively participate in team meetings, delivering comprehensive updates on compliance and sales conveyancing activities.
- Assist in answering incoming calls.
- Provide an exceptional internal and external customer experience in every interaction
- Order stationery and hardware as required
Requirements:
- Essential: Previous experience in a similar role within the real estate industry, demonstrating a strong understanding of compliance procedures, regulations, and best practices related to property sales in the UK.
- Familiarity with Energy Performance Certificates (EPCs), Anti-Money Laundering (AML) regulations, and relevant legal documentation.
- Impeccable attention to detail and exceptional organisational skills to effectively manage multiple tasks concurrently.
- Excellent communication skills, both written and verbal, enabling seamless interaction with stakeholders at all levels.
- Proficiency in relevant software and tools, including Microsoft Office Suite.
- Preferred: Familiarity with Reapit software, although not essential.
- A self-motivated individual with the ability to work autonomously while thriving in a team-oriented environment.
- A proactive problem solver, maintaining composure and professionalism in challenging situations.
