Office & Working Hours:  Monday to Friday, 9am to 6pm (office-based with up to 2 days remote working per week)

Purpose of the position:

tlc Estate Agents, a leading independent estate agency in Kensington and Chelsea, is seeking an experienced and highly capable Senior Service Charge Accounts Specialist and Client Relationship Builder to play a key leadership role within our Service Charge Accounts Department. This is a senior position responsible not only for the accurate preparation and oversight of service charge accounts, budgets, and financial reporting, but also for strengthening financial governance, improving processes, and acting as a trusted financial partner to clients, internal teams, and senior leadership.

Following the recent implementation of our new property management software, QUBE, we are looking for someone who can provide hands-on support in embedding the system effectively across the department. This includes ensuring data integrity, refining processes within QUBE, improving reporting functionality, supporting system optimisation, and helping the wider team confidently adopt and utilise the software to its full capability. The successful individual will bring technical expertise, commercial awareness, and a proactive approach to improving financial performance, ensuring regulatory compliance, enhancing client confidence, and supporting the continued growth and excellence of our Block Management and Property Management services. This role requires someone who can operate both strategically and operationally, taking ownership of complex portfolios while contributing to continuous improvement, system development, and best practice across the business.

Key Responsibilities:

  • Prepare, review, and finalise annual service charge accounts in TECH03/11 format, ensuring full compliance with RICS guidance and industry best practice.
  • Reconcile all client accounts in line with internal procedures and regulatory compliance.
  • Assist the preparation and ongoing management of service charge budgets, ensuring accuracy and alignment with lease obligations and anticipated expenditure.
  • Support, optimise, and act as a key internal expert in the use of QUBE, ensuring data integrity, efficient workflows, and improved financial reporting.
  • Act as a senior financial consultant to the Block Management team, providing expert guidance and resolving complex financial queries.
  • Build and maintain strong relationships with clients, leaseholders, and freeholders, providing clear financial advice and professional support.
  • Liaise with external auditors and ensure service charge accounts are fully prepared, compliant, and audit-ready.
  • Ensure service charge collections and arrears chasing, working proactively with internal teams to minimise financial risk and improve collection performance.
  • Maintain and enhance financial controls, reporting standards, and internal processes, contributing to continuous improvement and best practice.

Skills & Qualifications:

  • Minimum of 5+ years’ service charge accounting experience within residential block management.
  • Strong technical knowledge of TECH03/11 and RICS service charge regulations.
  • Advanced experience using QUBE and confidence supporting system optimisation and reporting.
  • Professional accounting qualification (ACCA, CIMA, ACA) or part-qualified, or equivalent relevant experience.
  • Proven ability to manage complex portfolios independently with a high level of accuracy and accountability.
  • Strong financial analysis, reconciliation, and reporting skills.
  • Excellent organisational skills with the ability to manage multiple deadlines in a fast-paced environment.
  • Confident communicator, capable of building trusted relationships and explaining financial matters clearly.
  • Professional, proactive, and solutions-focused, with a strong sense of ownership and attention to detail.
